Congratulations, you’re at the point in your growth where you need to expand your team. This is a scary moment for an agent. It’s hard to hand off care of your clients to someone else. There’s a lot of trust involved to know that team member won’t screw up what you’ve worked really hard to build.

One of the important things we want to consider when setting up an account for a supporting team member are account permissions: what, specifically do you want them to be able to do when interacting with your files?


Permission Types

Scarlett Mortgage is built to accommodate teamwork. Below is the list of permissions that are set for each new member that's brought onto Scarlett Mortgage.

Allows the individual to be listed as a submission agent

Agent on Deal

Allows the individual to be listed as the agent on deal

Access Reports

Allows the individual to pull reports

Pull Credit

Allows the individual to pull credit

Submit Deals

Allows the individual to submit deals

View Leads

Allows the individual to view leads

Create & Edit Leads

Allows the individual to create and edit lead cards

View Deals

Allows the individual to create deals

Create & Edit Deals

Allows the individual to create and edit deal files


Permission Levels

Each of the above permissions can be set using the following options.

Permission Level

No

Does not allow access to the permission category

Example: An administrator may have "No" in the category of "Pull Credit", because it's not a function of their job.

Yes: Own

Allows the individual access to this permission for only their own files or leads.

Example: A agent may have this permission level for "Create & Edit Deals" and "View Deals" because they need to be able to create their own deal files, and never create or work on files on behalf of other agents at their brokerage.

Yes: Own + Others

Allows the individual access to this permission for their own files or leads and for those owned by specific named people.

Example: Two agents who work in partnership on files may have this setting on "Create & Edit Deals" and "View Deals" so they can open and work each others files regardless of who is listed as the Agent on Deal.

Yes: Own + Team

Allows the individual access to this permission for their own files or leads and for those owned by anyone else on their team.

Example: A team lead may have this permission level for "Submit Deals" so that they can submit files to lenders on behalf of any agent on their team.

Yes: Own + Brokerage

Allows the individual access to this permission for their own files or leads and for those owned by anyone else in the brokerage.

Example: The principal broker may have this permission level for "View Deals" and "Create & Edit Deals" so they have oversight on all files at the brokerage.

Yes: Others

Allows the individual access to this permission for the files or leads owned by specific named people, but not themselves.

Example: An assistant may have this permission level on "View Deals" for the agent(s) they support so they can access the client information needed to send thank-you cards.

Yes: Team

Allows the individual access to this permission for the files or leads owned by anyone on a team, but not themselves.

Example: An underwriter may have this permission level on "Pull Credit", "Create & Edit Deals" & "Submit to Lender" for the team they work for to allow their job function, but they have no need to create their own owned files.

Yes: Brokerage

Allows the individual access to this permission for the files or leads owned by anyone at the brokerage, but not themselves.

Example: The compliance officer may have this permission level for "View Deals" so they can complete their file audits, but doesn't need to have their own owned files.


Examples

Each of these Permissions can have different permission levels. Let's look at a couple different permission settings. This may be the profile for an underwriter that works for agent John Smith:

Permissions can be adjusted by contacting the Scarlett Mortgage Support team. You can even get the ball rolling by clicking on the chat icon on this screen. Some permission settings will need to be authorized by your brokerage head office, but our support team can guide you through those steps.
